The Issue
Recipients of your email see your signature banner appear in between text and images placed in the body of your email
Reason
This commonly happens when there is media content in the email being created in another location and then pasted into a fresh email or forwarded from an existing chain.
- Pasting text into your email that has been copied from another source. When you copy text from another source, you copy “invisible” code along with the text that gets pasted into the email. This “invisible” code could have a match in the pattern causing the signature to be misplaced.
- Changes to the reply header. The reply header code is the part of the mail that tells you about the person you are replying to.
Fix
Put the following placeholder on your Outlook so that the system knows where to place your signature even when editing has been done on the contents of the emails. To do this navigate to the following and create a new signature with the content of @MYSIGNATURE@
Outlook > Files > Options > Mail > Signature:
Alternatively you can edit working in a notepad document and then paste all of the content into a new email.
